HIRING GUIDELINES

  • All Student Employment jobs are to be advertised through the Office of Polar Careers prior to hiring.
  • If you need to re-activate and update an archived job, contact our office, 419-772-2145. The old job announcement can be un-archived, you can update any out-of-date fields and repost the same job. No re-typing!
    • Remember when un-archiving a job posting, be sure to clear all previous applicants before re-posting your job. To clear previous applicants, click on the Applications tab, click Delete Resume for each applicant.
  • You may hire an in-coming student if you can prove the student is enrolled.
  • If you are re-hiring returning students, you only need to submit a Web Time Entry form to Human Resources. 
  • Web Time Entry forms must be submitted with the name or names of any student/s you hire for summer, for the academic year or at any time you hire a new student.

To advertise your job/s, log into Polar Careers powered by Symplicity. Your User Name is your full ONU email address. If you forgot your password, click "Forgot Password," and one will be auto-emailed to you immediately. 

If you have never registered as a Hiring Manager before, click on Polar Careers powered by Symplicity and select "Register and Post a New Job" and follow the prompts.

  • How do I know if I'm eligible for student employment?
    • All students are eligible for student employment. You do not necessarily need to have federal work study money available through your financial aid package. 
    • If you are a new, in-coming student, you must be able to show you are enrolled to take classes to qualify for seeking student employment.
    • If you are an international student, on campus employment is possible, as long as you are a full-time student and meet F-1 requirements. You can learn more by going to INTERNATIONAL EMPLOYMENT.
  • How do log in to Polar Careers?
    • Go to the Polar Careers website and click on Student Services.
    • Click on the Polar Careers powered by Symplicity icon on the right side
      – look for the paw print – it will take you to the log-in screen.
      • Click "Students/Alumni."
      • Your Username is your full ONU email address.
      • Your Password is your campus password.
  • I am having trouble logging in to my Polar Careers account.
    • Your username is your ONU email address (include the @onu.edu).
    • Your password is your ONU password. If you forgot your password, click “forgot password.” A new password will be sent to you via your email.
  • I am logged in, but I’m stuck on “Consent to Release Personal Information.”
    • In order for you to use Polar Careers resources, you must first agree to the consent form. This is in accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA) adn allows our staff to release information about you to employers (generally, your resume).
  • How do I find on-campus jobs?
    • Go to the “Jobs” tab and select “ONU Jobs.”
    • Click on the “Advanced Search” button, set the “Position Type” drop-down menu to “Student Employment” and search!
      • NOTE! You cannot apply for these jobs until you’ve completed, submitted and had approved your Student Employment Application.
  • Where can I find the Student Employment Application?
    • Once you logged in to your Polar Careers account, click on the “Document Library” under the shortcuts on the right-hand side.
    • Search for “Student Employment Application.”
      • IMPORTANT: The application is a writable PDF file. You will need to use Adobe Reader to complete it. If you don’t have Adobe Reader on your computer yet, you should download it (free) from this link.
    • Save the application as a PDF file to your desktop before completing the form.
      • IMPORTANT: Close the Internet file. Open the PDF file on your desktop using Adobe Reader.
    • Complete the application and re-save it to your desktop.
  • Do I have to use Adobe Reader to complete the Student Employment Application?
    • Yes. The file will be too big to load if you use any other software application.
  • I am having trouble with the Student Employment Application
    • You need to have Adobe Reader in order to open and complete the application. You can download it for free here.
  • Where do I upload my Student Employment Application?
    • Go to “Documents” tab in Polar Careers powered by Symplicity and click on “Add New” to upload your application.
    • SET YOUR “DOCUMENT TYPE” AS “STUDENT EMPLOYMENT APPLICATION.”
  • How long does it take to complete a Student Employment Application?
    • It should only take you 10-15 minutes to complete an application. It is that easy! (Incomplete applications will be returned.)
  • What do I do after I’ve uploaded my Student Employment Application?
    • Applications need to be approved before you can begin applying for student employment jobs. This will take no more than two business days.
  • Will I be notified when my Student Employment Application is approved?
    • Yes. An email will be sent to your ONU email account.
  • What if I don’t get an email about my Student Employment Application being approved?
    • Call the Polar Careers office at 419-772-2145. We can trouble-shoot for you to see what the issue is.
  • Once my Student Employment Application is approved, do I need to do anything else?
    • Yes. Now is when you can actually log in to Polar Careers powered by Symplicity and start applying for jobs!
  • Do I have to keep logging in every day to find new student jobs?
    • No. You can create a Saved Search for student employment and have jobs sent to your ONU email daily as new jobs post!
    • Go to the “Jobs” tab and select “ONU Jobs”
    • Click on the “Advanced Search” button, set the “Position Type” drop-down menu to “Student Employment” and search!
    • After you search, click on the “Saved Searches” link, give your search a title, indicate how often you wish to be notified and click “Yes” for “New results only.”
      • HINT: Later, when you’re searching for summer, intern, co-op or full-time jobs, you can create more Saved Searches!
  • Do I need a résumé to apply for student jobs?
    • Generally, no. Some hiring managers do request résumés. If a job requires a résumé, it’s important that you do the following:
      • When you apply for the job, be sure to upload all the required documents at the same time: Student Employment Application, résumé and/or any other required document. Once you apply, you cannot access the job again to add documents to the application unless you click on “withdraw my application” and then re-apply.
      • Upload your résumé under Documents, give it a name and set the Document Type as “Other” (NOT résumé). This gives you immediate access to your résumé to use when applying for the job. If the hiring manager is requesting any other documents, upload them as well and set the Document Type for them as “Other” also.
  • What can I do if I am not hired for a student job?
    • The Office of Polar Careers reaches out to local area employers from Ada and the surrounding communities that are within reasonable driving distance of ONU, encouraging them to list any employment opportunities which may be appropriate for college students. To find these jobs
