3.30 Students Drafted or Called into Reserves
1. If a student is drafted or recalled to active military duty during an academic semester, the University shall refund the tuition and academic fees that the student has paid to the University for that semester. The University shall refund University housing charges and University meal plan charges for that semester on a pro rata basis from the day that the student departs campus for military service or training. The University shall refund any financial aid paid toward the aforementioned expenses to the source of the financial aid. The University shall issue no refunds to a student who has earned academic credit for the semester.
2. If a student is drafted or recalled to active military duty or training during a future semester which the student has preregistered, the student must determine whether the anticipated date of service or training will allow the student to attend class in the subsequent term. If the student chooses to withdraw from the courses in which he or she has preregistered before the semester begins, the University shall refund all charges in accordance with the provisions of paragraph 1. If a student chooses to begin the semester and later must withdraw from classes while the semester is in session to perform military duty or training, the University shall refund all changes in accordance with the provisions of paragraph 1.
3. If a student is called to military duty in response to a public emergency, natural disaster, or war, and the student is unable to meet with an officer of the University in person before he or she must report for duty, the student may request by postal mail or electronic mail that an officer of the University complete the forms necessary to withdraw the student from classes and perform the financial actions established in paragraph 1.
4. If a student is drafted or recalled after the tenth week of the semester, the student may, at the discretion of the dean of the college or colleges that offer the courses in which the student is enrolled during that semester, make arrangements to take the final examinations or otherwise complete the requirements of the courses in which the student is enrolled during that semester.
5. The student must provide original military duty or training orders to the Veterans Administration Certifying Official in the Office of Financial Aid for the provisions of Section 3.30 to take effect.
1. Dean of the Student's College
- Discuss plans upon return including re-registration.
- Discuss timetable for communication
- Initiate processing of a Withdrawal from the university form
2. Financial Aid Office
- Students are not required to make student loan payments while deployed.
- Lenders must postpone the student loan payments of these borrowers.
- Students who have not begun the repayment period on their loans continue to receive the benefit of a grace period (generally six months) before repaying their loans.
- Students must be given a reasonable period of time to resume school before lenders request student loan payments.
- A lender may grant a discretionary, administrative forbearance for up to three months to students who are affected by the military mobilization.
- If a borrower is in default on a loan, the lender must cease all collection activities for the expected period of the borrower's military service.
3. Controller's Office
- Process form to withdraw from the University.
- Discuss refund application.
- Discuss Loan Deferment.
- Discuss account activity.
4. Student Affairs/Residence Life (If applicable)
- Discuss housing needs, if any, upon return to ONU.
5. Registrar's Office
- Discuss plans for return
- Discuss transcript notation as to reason for withdrawal "Called to Active Duty US NAVY 20-Mar-2003".
- Process the student's form to withdraw from the university.
- A copy of the call-up orders will be made for inclusion in the student's file.
- The student could complete an Application for Re-admission (1 page), and leave it with his/her college dean prior to leaving campus. OR
- Two weeks prior to the start of the next term of enrollment the student should contact the Admissions Office, obtain and complete an Application for Re-admission (1 page), and return it to the Admissions Office. OR
- Two weeks prior to the start of the next term of enrollment the student could contact his/her college dean and have an Application for Re-admission (1 page), completed by the deans office and sent to the Admission's Office.
